A practical workflow for small teams that want every caller to receive a clear response and every important request to reach the right person.
1. Define the call-handling rules
- Write a short, accurate greeting with the business name.
- Record business hours, holidays, and what counts as an emergency.
- List the people or teams who may receive a live transfer.
- Define what the receptionist may schedule, change, or cancel.
- Keep a human fallback for requests the workflow cannot safely resolve.
2. Capture the minimum useful context
For every actionable call, collect only what the team needs:
- Caller name and preferred callback number
- Company or account name, when relevant
- Reason for calling in the caller's own words
- Urgency and requested deadline
- Best time and approved channel for follow-up
- Appointment details or reference number, when applicable
Read back phone numbers, names, dates, and times before ending the call.
3. Route the call deliberately
Transfer now when the request is urgent, the responsible person is available, and the caller agrees to be transferred.
Schedule when the caller wants an appointment and an approved time is available.
Take a message when context must be reviewed before anyone responds.
